Copying message to sent folder stays open for a long time

My name is Chris, I work for a small business with about 100 employees and 2 customer service staff. We are having a lot of struggles with customer service sending e-mails. Both staff have several e-mail accounts set up in their systems in order to personalize an experience with different customers.

The situation that keeps happening is there is a LONG process that copies a message to the sent folder when sending a message.

I just sent a test message from one user's account to herself, after setting up her account on my computer and I got the message "Copying message to sent folder..."

Then 10 seconds later I got this: "Your message was sent but a copy was not placed in your sent folder (Sent) due to network or file access errors. You can retry or Save the message locally to Local Folders/Sent-<Account>

This is the very first message I tried to send from Thunderbird on my computer, with just the word test in the subject and body

One staff has been dealing with messages like this waiting to copy message to the sent folder for long periods of time. The e-mail is sent, but the last part of the transmission takes a long time to process and finish, or it doesn't finish out at all.

She has situations where at the end of her day she will minimize or close her main Thunderbird window and she will have 20 messages exactly like above on her computer. She knows that messages are going through because she will get replies from customers, and she will respond once or twice to those replies, and the "copying message to sent folder" messages are still hanging out on her computer.

I have tried to get around the problem by setting thunderbird to save the sent message in a Sent Folder under local folders, and then I have specific folders set up for each customer specific account, where they are saved. I then have message filters defined under local folders that are set up to make a copy of messages that go into that custom local folder, and save that copy back up to the original sent folder.

From the testing i have done of this process, some accounts will work if you highlight the message filter then hit the run now button, then messages will copy over, but it is not happening automatically even with all of the message options unchecked except "periodically, every 10 minutes".

I expect messages to copy back up to the sent folder with just that checkbox checked.

Is there a reason why it takes a long period of time to copy the message to the sent folder, from that same account?

I can confirm the issue exists on three computers now, which rules out one local computer / hard drive / network card / switch port.

Customer Service staff both have about a dozen e-mail accounts set up in Thunderbird, with a separate inbox, e-mail address and sent folder for each one. The problem is occurring on multiple accounts on multiple computers. I was able to duplicate the issue on my computer after having 10 accounts set up in Thunderbird, then sending one test message from that account to that account.

Please let me know what I can do to resolve the issue. Also, taking a step back, there has to be a better way to manage many customers and communications. Thoughts?

Please check where your TB settings are saving Sent messages and report back. Tools > Account Settings > Copies & Folders > Place a copy in, and make sure that the location chosen is correct. Each TB account can select a different location, and if they are not saving to the local computer, then saving to sent requires proper permissions and network access or internet access to send the copy to whatever location has been selected. Also check that your virus software is not blocking Thunderbird email files from being accessed - there are many posts on this forum about how to make an exception for Thunderbird in various anti-virus products.

Who is the mail provider? If it's based on gmail/gsuite or MS/Office365, and perhaps others, that automatically copy sent messages to a Sent or Sent Mail folder, you must uncheck 'Place a copy in' in the Copies & Folders section of Account Settings, to avoid a 'Your message was sent...' error.

As already mentioned, check that the antivirus isn't interfering. The best test of this is to run Windows in safe mode, but in all cases, the TB profile folder should be added as an exclusion in AV settings.
