Unified folder listing shows one account but not another?

Hi, I have two accounts in my Thunderbird. They are Gmail (regular gmail account) and CFCC (an institutional account). The CFCC shows up in my Unified Folder list but the Gmail does not. Is that normal? The main Inbox is showing all incoming emails from both accounts so no performance issues, just wondering how to get rid of the CFCC (if that's possible) to eliminate clutter. Unified Folders A setting often used by people who have several mail accounts, but like to see an amalgamated list of eg: all emails in Inbox for all accounts in one unified folder.

Only the default folders display as unified folders. Inbox, Drafts, Templates, Sent. Archives, Spam, Trash

The Unified Inbox will have a chevron > to the left indicating it has separate accounts listed. > Inbox If you click on > then it expands to show the various separate mail account inboxes.

Scenario: If a Unified folder eg: Inbox is expanded and only has one account shown, then you may wish to add the Inbox of the other accounts.

  • Right click on Unified Inbox and select 'Properties'
  • Click on 'Choose' button
  • You can then see list of accounts and you need to select the checkboxes for 'Inbox' for all accounts including 'Local Folders'.
  • Click on 'OK'
  • Click on 'Update'

Same process for any Unified Folder - if 'Sent' then make sure you only select the 'Sent' folders of all the accounts.

Those accounts display if they contain any folders you created or default folders that have not been selected to be displayed in Unified Folders. Local Folders being the last.

If the gmail account has no folders you created and all it's default folders are selected to display in Unified Folders then it has nothing to display, so will not display.

But you may have a gmail Inbox that has sub folders ? Do you want those subfolders to be displayed under that Inbox section in Unified Folders. If you check the 'Unified Inbox' for 'Properties' and click on 'Choose' - any Inbox subfolder may be selected - if you uncheck those subfolders, then they will be forced to display in a separate gmail account folder.

'All Folders' is the default display option which you have also chosen to be displayed. It shows all accounts one after the other and they all have their own set of folders.

Hmmmm. If I'm following you correctly, neither of these accounts should be showing in the Unified Folder List? Screenshot attached of what's selected and what's not under Properties.

The properties says: Both account Inboxes should be in the Unified Inbox and when you click on the >chevron for Unified Inbox you should see two account names listed.

Image shows CFCC has several folders that are not default folders so you should see the CFCC account listed below the Unified folders and it should contain all those folders you created.

The gmail account - not sure if it has any folders you created are listed - 3 are blanked, but if they are folders you created then the Gmail account should be listed showing those folders. Make sure they are 'subscribed'. They should all display in the 'All Folders'. in respective accounts.

When I click on the chevron next to Inbox, it indeed displays both Gmail and CFCC. Great!

What I'm confused by is why only CFCC shows up below the Spam folder (as in previous screenshot). The 3 blanked folders under Gmail are in fact folders that I created, and each one actually includes multiple layers of subfolders as well.

None of the CFCC's are subscribed, nor are any of the Gmail's subscribed -- so why is Thunderbird treating them differently?

I have the same issue since I just added an account. I am so frustrated because all of the guidance seems to think I'm having problems with the "Unified Folders" part of the list. Those are working fine, as are yours. But, If I have accounts "1", "2", and "3" for email, I am seeing 1,2,3 in "All Folders", but only 1,2 in the Unified Folders panel, right under Trash. I cannot for the life of me figure out how to add "3" to the Unified FOlders pane. Every piece of guidance tells me to go into Inbox and such and select the Inbox of Account 3, which not only did Tbird do for me when I created the account, but Account 3 shows up there in the Inbox folder chooser for me to select any or all folders in that account. So, Unified Folders knows about the new account, but it WILL NOT show the base account in the pane. I am hoping adding to your thread will cause someone who knows how to do the non UNified Folders part of this to chime in

Gmail usually call their sent folder 'Sent Mail' - either way the point is this, they are displayed as normal folders and do not have the icon to indicate which is the server designed default folder as set by the gmail server.

The same goes for the CFCC account - it's not displaying all the correct icons for the server default folders as set by the server.

That implies your 'Account Settings' are not as expected. Please post two images showing what you have got selected for gmail and CFCC in : 'Account Settings' > 'Copies & Folders' for each account.

All folders are shown in the chooser, but for a Unified Inbox, you would only select the Inbox checkbox in each account. Some people have Inbox subfolders - they can choose to either show them in the Unified Inbox or not. If not then they are shown in the account name just below the set of Unified folders along with any other subscribed folder and also any default server folder that has not been included in a Unified folder. Example: if you had a 'Drafts' folder in 'Local Folders' but did not include it in the Unified Drafts properties chooser, then it will be displayed in the account name Local Folders.

At this point, I'm working on the original issue posted - trying to ascertain what is actually set up in Account settings and what is displayed and subscribed and why the gmail account is not displaying in the Unified section, but CFCC is displaying.

Attaching screenshot. I blocked out the names for privacy but they are all folders that I created manually, not any of the system folders.

I am attaching the two screenshots you suggested. BTW, re "My Sent Emails" -- this is a folder to which I copy all my sent items because I am old school and don't like using Gmail's "keep everything and just use search to find things" approach. In this folder, I delete all resolved messages and keep only those awaiting disposition. Re: the other folders, I hid them from view in Gmail (3rd and 4th screenshots attached -- I've never been able to figure out what the ones in the 4th screenshot are for).

Some background info.... IMAP is designed to show whatever is on server. That's how it works. Gmail stores everything in the 'All Mail' folder. Gmail understands that is unworkable when trying to organise and view emails. Gmail invented 'Labels' which work like a type of tag. The benefit means it's easier to organise emails and in addition, possible to apply more than one label to one email. Email therefore can be seen in two Labels eg: Inbox and Important. Gmail created a bunch of default Labels eg: Inbox, Sent etc It means it's easier to find anything that has come in and anything that has been sent etc. Gmail does not have an Archives folder as such - Archive to gmail means remove all labels and store in 'All Mail'. So it's not exactly easy to work out what has been stored - but in 'All Mail' those emails will not have any labels shown.

Any email you send using the gmail smtp server is auto saved in the default server Sent folder. Gmail do this by default just in case you viewed via the gmail webmail account.

It's generally considered not worth seeing 'All Mail' in Imap because it just duplicates everything. I'd also advise you do not allow to show in imap because if anything happens to it - eg: your Anti-Virus attempts to fix it, there is a good chance you lose everything. If email is not in 'All Mail' then it cannot display in any imap folder as it will not exist on server. The risk is just not worth it.

Thunderbird has no concept of 'labels', so it has folders and just downloads whatever is in server eg: Inbox to imap Inbox.

re :Re: the other folders, I hid them from view in Gmail (3rd and 4th screenshots attached - You have selected to not allow Thunderbird to access specific server default labels by not selecting 'Show in imap'. Some I agree it's not worth it, but 'Sent' is definitely one you should select. The 'Show in label list' only applies to the webmail view and not Thunderbird imap account. The 'Show in Imap' effects what Thunderbird gmail account is allowed to see - subscribed to see. Currently, gmails server 'Sent' label has checkbox 'Show in Imap' as not selected. However, for any email you send using the gmail account in Thunderbird, gmail should have copies in the gmail default 'Sent' folder anyway.

Advise: in gmail webmail - for the default 'Sent' - select that 'Show in Imap' so it displays in the imap account. You have no control over Gmail auto saving sent mail, so may as well see what gmail are doing.

In Thunderbird in gmail account: I can see that you are selecting to save sent emails in Local Folders. There is no harm in having a duplicate copy of sent mail stored independently of the server on your computer. But I would advise on altering the set up. In Account Settings > 'Copies & Folders', select 'Place a copy in' use 'Other' and choose 'Sent on Local Folders'. You are already seeing the imap Drafts folder, so I suggest you use it. select 'Drafts folder on' and choose the gmail mail account'

Then make sure the Unified Drafts Folder > Properties > Choose has all 'Draft' folders for all accounts selected and that includes 'Local Folders'

In general, if using an imap folder then select eg: 'Drafts folder on' and select the imap account. if not using a folder specific in the account, then use 'Other' and choose relevant folder in Local Folders.

I'm trying to sort out why you do not have a Unified 'Sent' folder - it's because no default 'Sent' exists which sounds wrong or why 'Sent' folder is not displaying in the very first image you posted under 'Local Folders'.

When you want to create a new folder in the imap account OR directly on the server, it is considered by gmail as a new label. All those get put in the section under 'Create a new label' section. So anything in that section is created by you. If you do not select the 'Show in Imap' then Thunderbird cannot see it. However, in your case you have 'Sent Mail'. 'Drafts' and 'Sent' shown in the image. There is no need for you to create any of them because Sent and Drafts are already default server labels and you are just going to cause a load of confusion if you chose to see them because you would have duplicate folder names. I would delete them. I would expect that you have a lot more labels in that section - not included in image -because the 'All Folders' gmail account image shows you have loads of folders you created. I do not know why you blanked them all out as they are only folder names. But the first folder starts with Fi Is that correct ? Is folder that starts Fi and all the others - Are they all selected as 'Show in imap' ? If no then they should be selected as 'Show in imap'. This information is important.

In 'All Folders' > Gmail account. You have 'My Sent Emails' and 'Sent Items' folders

  • Right click on each folder and select 'Properties'

What does it say for location ? It would give you the real name of folder which would help to work out if there is a different name on server.

Those two folders are imap folders which means they should be shown in the webmail account under the section where you create new labels OR one of them is the real default 'Sent' folder currently named 'Sent Items' but it's not selected in 'Copies & Folders' as the proper folder to use. We need to sort it out.

Please provide the following info: For folders 'My Sent Emails' and 'Sent Items' Please post images showing what it says in 'Properties' for the 'Name' and the 'Location'

Thanks so we know the folders are called 'My Sent Emails' and 'Sent Items' on the server. In webmail account, in 'Labels' section under the bottom area under 'Create new Label' I would expect to see those two labels 'My Sent Emails' and 'Sent Items' Do you see them? If yes, then we know you created them and they are not the default 'Sent'. Selecting the 'Show' instead of 'hide' means it displays properly in the webmail account. The one called 'My Sent Emails' - make sure you have selected to 'show' (not 'hide') in label list Also locate default 'Sent' which will be higher up just below Important - select to 'show' in label list and also select checkbox to 'Show in imap'

Does 'My Sent Emails' show the 7 emails? Do you also see those sent emails in the 'Sent' label? Do you see a lot of emails in the 'Sent' or just those 7 same emails?

In Thunderbird imap account. As the default 'Sent' has been selected to 'show in imap', we need to make sure it really is subscribed as well as all other required folders.

  • Right click on gmail account name in Folder Pane and select 'Subscribe'
  • Click on 'Refresh'
  • Make sure the All the default folders, Inbox, Spam, Drafts, Trash and also the 'Sent' folder are selected and also any other folders and subfolders you created and need to see.
  • Click on ok

Do you now also see 'Sent' appear in the folder pane in gmail account?
