Hi, I have just changed my hosting company. I reconfigured my server settings and now I have TWO mailboxes: ray@raysloan.com (this is the one I want!) and another ray@nilgaut.o2switch.net All mails are going into the latter and this is NOT the one I want. If I look at 'settings' for raysloan.com at the top it says 'The following is a special account. There are no identities associated with it - account name ray@raysloan.com' !?

Please see the screen shots attached.

I am terrified of trying anything for fear of losing important mails. The last time something similar happened I lost all of my client information ! How can I get my primary mailbox back as my default mailbox and get rid of the ray@nilgaut.o2switch.net without losing mails ?

I have opened 'account settings' for raysloan.com and changed it 'Local Folders'.

You then asked me to go into account settings for nilgaut, click account actions and set as default - I have done exactly that but 'set as default' is greyed out. I do believe that I have done as you ask ?

Why are you sending me old images which you have already posted? They are not relevant and they are not the images you need to post.

Lets get something very clear. The account called you called 'ray@raysloan.com' is not 'ray@raysloan.com' . It is 'Local Folders' mail account and it contains a bunch of folders and emails you previously downloaded and stored in that location when you had a Pop mail account connected to old server. But it is no longer connected to any mail account nor server. It will not receive any emails directly from any server. It is now just a storage of emails. Those emails are stored ok. So stop worrying about it. Rename it to 'Local Folders' and leave it alone.

You must change that name back to 'Local Folders' because you need to rename the other account. I posted image showing you where you had to rename that account back to Local Folders.

'ray@nilgaut.o2switch.net' is the only mail account you have set up. That name 'ray@nilgaut.o2switch.net' is confusing you. That is your 'ray@raysloan.com' account. It is the account which I believe is connected to the new server settings. I'm not asking you to do anything regarding the server settings or email. I'm asking you to change the titles of the account because you had them all set up wrong and it is confusing you. I posted image showing you where you had to rename that account back to 'ray@raysloan.com'

But then I need images of that account so I can see the 'Local Directory' information and I also need to see the 'Server Settings' for that account. This is the account that needs checking. Then I can offer more information.

I have done exactly that TH as I said previously, and the nilgaut mailbox has been replaced with ray@raysloan.com. But as explained I still cannot 'set as default' see images attached.

All looks OK. At least now you have the correct titles for those accounts which is less confusing.

Previously you had a pop mail account. It was set up as a deferred account also known as 'Global Inbox' to use the 'Local Folders' mail account. That means you did not have a separate pop mail account with it's own folders displaying in the Folder Pane. It just used Local Folders. At some point you changed the name of the 'Local Folders' mail account to ray email address account. More recently, when you removed the pop mail account, all the folders and emails remained in the 'Local Folders' mail account which you have now renamed back to say 'Local Folders'.

Those emails are stored in this location in your profile name folder:

  • C:\Users\User Name\Appdata\Roaming\Thunderbird\Profiles\puoj1znl.default\Mail\Local Folders

They are in the 'Mail' folder and contained the account folder called 'Local Folders'. This account is not linked to any mail account. It is a complete independent of server storage of emails on your computer.

You have moved to new servers so you had to set up an account using the information for the new server in order to access your emails. That new server name is 'nilgaut.o2switch.net'. That new account was set up as an Imap mail account. Imap mail accounts operate in a different way from Pop mail accounts. All imap folders will be exactly the same as seen in the webmail account and you subscribe to see server folders. All imap folders synchronise with the server folders so they can display whatever is held on the server. So in effect the emails are stored on the server. Imap folders may have a full copy downloaded but that depends upon your settings. Because imap folders synchronise with server folders, they are not totally independent of the server copies on your computer.

If you delete an email in an imap account it gets moved to the 'Deleted' folder which then synchronises with the server and if you logged on to the webmail account you would see the same. When you move an email out of an imap folder into a Local Folders mail account folder, you are moving that email off the server. It gets deleted off the server. There is nothing wrong with keeping copies of emails in the 'Local Folders' mail account, but I would strongly advise you do not use 'Move' - please use right click and select 'Copy to' and choose the relevant folder in Local Folders. Why ? Because everytime you want to move an email there is a connection with the server and if something occurs with the connection you might move email off server and lose it, but if you use 'Copy to' then the original is still on server, so if it fails - you can repeat.

The new imap mail account is storing the account in this location:

  • C:\Users\User Name\Appdata\Roaming\Thunderbird\Profiles\puoj1znl.default\ImapMail\mail.raysloan.com

They are in the 'ImapMail' folder and contained in the account folder called 'mail.raysloan.com'

From now onwards you are using this imap raysloan.com account. You receive emails into this account because you have changed server. You should send emails from this account.

In the 'Account Settings' tab. Left Pane - at the bottom is 'Outgoing Server (SMTP)'. Click on 'Outgoing Server (SMTP)' It will show you two outgoing smtp servers in the list.

I need to check the settings on the new one. Select the one called 'ray@raysloan.com - nilgaut.o2switch.net' click on 'Set as default' You need this one as the default because you have changed servers. Please post an image so I can check those settings are ok.

Following on from previous comment.... Restart Thunderbird and then post this information.

  • On top 'Menu Bar' - click on 'Help' to see drop down list and select 'More Troubleshooting Information'

It will open in a new tab.

  • Scroll down to 'Mail and News Accounts' section.
  • Post an image which shows everything you have in the 'Mail and News Accounts' section.

This will tell me the account number for each account and confirm everything is using the correct settings.

Hi TH. I have followed your instructions re the SMTP account but as previously I cannot do a 'set as default' because it remains greyed out in 'account actions'. As you will see in the screenshot in the SMTP server settings the 'Default' is set as: raysloan.com - mail.raysloan.com (Default)

I know I have posted the screen shot of the SMTP account before but here it is again. I have also done a shot of the 'Mail and News' for you. When I opened my PC and TDB this morning the accounts still seem to be OK. However there does not seem to be anything I can do about changing the 'default' setting.

Oh ! I just checked the smtp pane again before sending this and I noticed that on the right hand side of the window there was 'Add' 'Edit' 'Remove' and 'Set Default' ....... I clicked on ray@raysloan.com - nilgaut.o2switch.net and I was able to 'set default' so as you can see in the new smtp screenshot it is now the 'Default'.

Hi again TH. I have just encountered a slight problem. I just replied to an email from ray@raysloan.com and it did not appear in the 'sent' box under ray@raysloan.com. Instead it went into a 'sent' box under 'Local Folders' - do you know what I can do about this ?

In the Folder Pane for the imap account, do you see a folder called 'Templates' ? I'm asking because previous images did not show it.

Please do the following to see if you need to subscribe to see it. Usually all the default folders are auto subscribed to be seen and appear automatically in the account. In 'Folder Pane - Right click on the imap ray@raysloan account name and select 'Subscribe' Click on 'Refresh' You need to make sure you have selected all the folders you need to see and 'Templates' is a folder I would expect in that list as it is usually a folder on the server. Click on 'Subscribe' click on OK


In 'Copies & Folders' When sending messages, automatically:

  • Select 'Place a copy in' (this is already selected)
  • Select 'Other' and choose 'Sent on ray@raysloan.com'

Drafts and Templates Keep message templates in:

  • Select 'Other' and choose 'Templates on ray@raysloan.com'

The 'Folder Pane' is not in the 'Account Settings' window. The 'Folder Pane' where you have your list of mail accounts and all the folders. You select a folder in the 'Folder Pane' and it displays a list of the emails on the right side so you can select to read an email.

In 'Folder Pane - Right click on the imap ray@raysloan account name and select 'Subscribe' See image below.

Click on 'Refresh' You need to make sure you have selected all the folders you need to see and 'Templates' is a folder I would expect in that list as it is usually a folder on the server. Click on 'Subscribe' click on OK

You cannot choose to use a folder that is not being displayed in the Folder Pane. You have to subscribe to see the 'Templates' folder first.

Logon to your webmail server account using a browser. It should have a Templates folder. Do you see a Templates folder when you logon to the server webmail account via your browser ?

Once you have the 'Templates' folder displaying in Folder Pane then you can point the Account Settings to use it.

OK, I have right clicked my email address, clicked subscribe and refresh ; 'Templates' does not appear anywhere. I have logged on to my webmail and nor can I see 'templates' there.

You are doing OK and providing good info. In the Imap Account (in Folder Pane), I suggest you create a folder and call it 'Templates'. right click on the imap ray account name folder in Folder Pane and select 'New Folder' Call it 'Templates' click on 'Create Folder'

A new folder called 'Templates' should get created.

Then logon to the webmail account via a browser to see if that new folder called 'Templates' appears in the webmail account. If yes, all is good. Check to see if you need to select an option to allow it to display in imap. Some servers have this setting and others just auto allow any folder for imap access.

If it appears in webmail, but seems to disappear from Thunderbird Folder Pane, then do the 'Subscribe' method as previosly mentioned. I'm hoping it should get auto subscribed.

Now you can go into the 'Account Settings' > 'Copies & Folders' Drafts and Templates Keep message templates in:

  • Select 'Other' and choose 'Templates on ray@raysloan.com'
