A mailing list is a sub list of an address book, used to send mail to a group of contacts. Each contact must be in the same address book and have a valid email address.
An address book can have multiple mailing lists.

Create a mailing list
- Open the Address Book.
In the left pane - top right of :
- Click the Create new mailing list icon. See image below as a guide.
The 'New Mailing List' window opens.
Enter all the Mailing List required details as indicated below.
- Add to: Click on the drop down icon and select Address book name
- List Name: Enter a suitable name for the mailing list.
- List Nickname: optional
- Description:optional, but useful to differentiate between multiple or similar Mailing Lists.
At this point you have two options:
Option 1:
- Manually enter the email addresses of your contacts.
- Type one email address per line.
- You cannot sort email addresses in this list in this window. They will appear in the order added.
- Click when finished.
Option 2:
- Do not enter any email addresses via this window.
- Save and Close the Mailing List window by clicking .
The new Mailing List is created, but when selected appears empty.
Now add selected contacts to the new Mailing List:
- Select the address book which contains the new mailing list.
- Select to highlight contacts.
- To select various contacts: Hold down the CtrlCommand key and left click the contacts.
- To select a block: Select the first contact, hold down the Shift key and select the last contact.
- Left click and hold down on the selected highlighted contacts to grab.
- Drag the contacts to the left and hover over the mailing list name.
- Release the mouse button to drop contacts into the mailing list.
The example image below shows three contacts were selected in the Business address book and dragged over the Group 1 Mailing List.
Finally, select the Mailing List name to check all contacts are listed.
The example below shows all three contacts successfully added to the new Mailing List.
Alternative method to create a Mailing List
- Open the Address Book.
- Select an address book name.
- Select to highlight contacts in the address book.
- To select various contacts: Hold down the CtrlCommand key and left click the contacts.
- To select a block: Select the first contact, hold down the Shift key and select the last contact.
It will say X number of selected contacts and below offer some options:
- Click the icon.
- A new Mailing List window opens with contacts already pre entered.
- Give Mailing List a suitable name and complete any other required fields.
- Click the button.
Edit a Mailing List
There are two ways to edit a Mailing List, either via the Edit Mailing List name window or via the Mailing List display list.
Add or remove a contact via the Edit Mailing List window
- Open the Address Book.
- Select the Mailing List name to highlight, click on the far right 3 dot menu icon and select .
- OR right click on a Mailing List name and select .
Add another contact
- Type one contact's email address per line.
- Click when finished.
Remove a contact
- Highlight contact email address you wish to remove.
- Right click on highlighted email address and click .
- Click when finished.
Add or remove a contact directly to the Mailing List display list
- Open the Address Book.
Add a contact to a Mailing List
- Select the address book name which contains the Mailing List.
- Left click and hold down on selected highlighted contact(s) to grab.
- Drag the contact(s) to the left and hover over the mailing list name.
- Release the mouse button to drop contact(s) into the mailing list.
Remove a contact from Mailing List
- Select the Mailing List name.
- Select the contact name in the Mailing List.
- Click the button shown in contact details.
- Click .
- Click .
Create a new Mailing List using a subset of contacts already in a Mailing List
- Open the Address Book.
- Select the Mailing List name to see contacts.
- Select to highlight contacts in Mailing List.
- To select various contacts: Hold down the CtrlCommand key and left click the contacts.
- To select a block: Select the first contact, hold down the Shift key and select the last contact.
It will say X number of selected contacts and below offer some options:
- Click the icon.
- A new Mailing List window opens with contacts already pre entered.
- Give the Mailing List a suitable name and complete any other required fields.
- Click the button.
A new Mailing List is auto created with the subset of selected contacts.
Create email using a mailing list
There are two methods producing different results.
Via the Address Book
Useful if you need to select a subset or omit a contact or send list as individual named contacts.
On the Spaces toolbar:
- Click the Address Book icon.
OR On the Menu Bar toolbar:
- Click and select to open.
- Select the mailing list to see contacts.
- Select to highlight contacts.
- To select various contacts: Hold down the CtrlCommand key and left click the contacts.
- To select a block: Select the first contact, hold down the Shift key and select the last contact.
- To select all: Select the first contact and use CtrlCommandA.
- You will see X number selected contacts. Click the button.
This will open a new Write compose message window, and each contact in the mailing list will appear in the To field. This allows you to remove a name, if desired.
If required, you may need to manually select to enable the Bcc field, then select all contacts and drag into the Bcc field - as your contacts may not want you to distribute their email address.
Enter the Subject; Compose the email and click .
Via a new Write message
On the Folder Pane Header Toolbar:
- Click the button.
A new Write message window will open, and on the left side there should be the 'Contacts Sidebar'.
- If you cannot see the Contacts Sidebar, you need to enable it.
- Click > or use the F9 key to toggle the view.
- Select the address book containing the mailing list.
- Use search to help locate Mailing List.
- Select the mailing list.
- Click the button or another option.
This will add the mailing list name into the Bcc or Cc or To field. Note: it shows the Mailing List Description in brackets.
You cannot see or alter the individual contacts of the mailing list in this format. But you can switch to individual names: Right click on the Mailing List name and select .
You can now complete the email with the subject and message content, then click .
